Membership Management Our Membership Management Software stores each member’s name, address, phone number, membership number, expiration date, billing information, etc. in the System Server Computer. The system will allow entry to the facility for any member who is active and the current date is prior to their expiration date. The software also keeps a facility usage log for each member and the entire facility as well as automatically providing a variety of reports and membership analysis information. Our software is designed from the ground up to incorporate our minimal staffing and remote management design concepts. At the end of each day, designated individuals are automatically emailed a Daily Login Report and Daily Alert Log. You can use these reports and remote access to the recorded video to verify those membership entries. Each day you will also be automatically emailed a complete backup of your essential data files. At the end of each week you will receive an emailed report of members expiring in the next two weeks. The system also has the option to email those individuals a membership reminder at the same time it generates the expiring membership report for you. At the end of each month you will also receive a variety of automated email reports showing monthly usage statistics including reports showing the total number of logins, an analysis of usage by hour of the day and an analysis of usage by day of the week. Each member can also be flagged if they need a monthly usage report to provide to their employer for reimbursement of their membership fees. All members flagged for a monthly usage report will have that report automatically emailed to them at the end of each month. If they don’t have an email address, the report will be emailed to you so you can mail it to them. The monthly reporting routine also provides you with a list of all active members in the system by membership category. Our system design also allows you to add new members, edit information of current members and perform all other membership management tasks from a remote location by using a high speed internet connection. Our membership software can also handle the billing of members by a variety of means including creation of your ACH file for EFT membership payments. The system can also generate email marketing to active, inactive, expired and expiring members. |
